Student Records Manager

In the Office ofthe Registrar, the Student Records Manager reports to the Assistant Vice President/Registrar. The Office of the Registrar is a very tech-driven and deadline driven area of Saint Mary's College. The role of the Student Records Manager is to establish a systematic control of the creation, receipt, maintenance, use and accuracy of electronic files and records which contain confidential student information. The Student Records Manager researches and responds to inquires and requests for information from faculty, staff, students or external resources. The Student Records Manager establishes and runs reports through reporting software to frequently audit records for accuracy and integrity of record.

Customer Service: Analyzes, evaluates and processes incoming student

documents. Assists with student and faculty requests in a timely and

efficient manner; provides academic transcripts; answers multiple

telephone and in-person requests. Ensures that current regulations and

procedures are communicated to students, staff and faculty.

Document Processing: On-demand processing of transcript requests for

students, Diploma processing, processing Academic Evaluation Changes.

Processing Independent Study/Internship Petitions. Processes incoming

Education and Degree Verfication requests. Processes Grade Change

Petitions, Declaration of Major Petitions, and ensures Academic

Evaluations are updated and accurate.

Record Management: Establishes and runs reports through reporting

software to frequently audit records for accuracy and integrity of record.

Establishes a systematic control of the creation, receipt, maintenance, use

and accuracy of electronic files and records.
Requirements
Education: REQUIRED: AA PREFERRED: BA

Experience: (years required and applicable field of experience): Minimum two (2) years experience in similar setting or in higher education highly desirable; strong interpersonal, verbal and written skills. Experience with Ellucian Colleague student information system highly desirable.

Skills/Abilities: (e.g. computer skills, written & verbal skills, trades, laws, procedures, technical) Demonstrated excellence in using Windows operating systems, Microsoft Office, Google Documents, knowledge of document imaging systems preferred, strong interpersonal, verbal and written skills.

  • Must have experience working with confidential records
  • Must have experience working within a Student Information System
  • Must have experience with Diploma and Transcript software
  • Must have experience creating and running reports
  • Must be familiar with National Student Clearinghouse and it's function as it relates to Higher Education
