Job Description

Our client, a boutique investment firm, is looking for an Executive Assistant. This role will primarily support the 2 founding Partners and the ideal candidate will be open to an entrepreneurial mindset and comfortable with Executive Assistant duties and also handling the occasional personal duty depending on the needs of the founders. This position requires a high level of attention to detail, poise, excellent communication skills, and the ability to take ownership of tasks and relationships.

POSITION: Executive Assistant
LOCATION: New York, NY
Hours: 9-5pm / in office 4 days remote 1 &  (with occasional flexibility when the principle is on the road)
COMPENSATION: $85-160k DOE, (lunch covered when in office, medical benefits, 401k)
BACHELOR'S DEGREE: Required
*This role is in the office 4 days a week with 1 day remote (Fridays) general flexibility when the executives are traveling – see above

Responsibilities of the Executive Assistant:

- Efficiently manage the executives’ calendars when needed, including scheduling, coordinating meetings, appointments, events, and travel arrangements across multiple time zones, including arranging visas, and itineraries.  
- Plan, coordinate, and arrange travel logistics, including flights (via travel agency), accommodations, ground transportation, and visa requirements. Research and provide recommendations for restaurants, venues, and local attractions.
- Prepare and submit expense reports.
- Build professional relationships with internal and external stakeholders.
- Prepare agendas, take minutes, and follow up on action items.
- Assist with the proofreading and editing of documents, presentations, and reports.
- Manage and respond to incoming communications promptly and efficiently when needed.
- Handling ad-hoc personal tasks as needed.

Requirements of the Executive Assistant:

- A strong command of the support role and 3-10 years of experience in this type of position 
- Bachelor’s Degree required
- Good problem-solving skills, strong ability to multi-task 
- Familiarity with working with different time zones
- Excellent communication skills (written and spoken) 
- Strong attention to detail and follow through with tasks
- Comfortable checking phone / email off hours (especially when founder is traveling)
- Proactive approach in identifying the needs of others, particularly in terms of projects and calendars. 
- Verification of identity, education, prior employment, and references may be required
