We're looking for an Executive Administrative Assistant to support our executive team and help streamline day-to-day operations. Key Responsibilities:
Calendar Management: Take charge of complex schedules by arranging meetings, appointments, and travel for executives, ensuring everything runs smoothly.
Communication Hub: Serve as the primary point of contact between executives and both internal and external stakeholders, managing emails, calls, and inquiries with professionalism.
Documentation and Correspondence: Prepare, proofread, and edit reports, presentations, memos, and other documents to keep communication clear and organized.
Meeting Coordination: Organize meetings, conferences, and video calls, ensuring logistics like room bookings, agendas, and materials are prepared in advance.
Minute-Taking: Attend meetings, take detailed notes, and distribute them afterward to ensure everyone is aligned.
Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
Office Management: Support the smooth operation of the office by assisting with supplies, equipment maintenance, and general organization.
Project Support: Help executives with special projects, research, and presentations, collaborating with other departments to drive cross-functional initiatives.
What We're Looking For:
Proven experience as an Executive Administrative Assistant or in a similar role supporting senior-level executives.
Exceptional organizational skills and the ability to juggle multiple priorities with ease.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other office management software.
Strong written and verbal communication skills with an eagle eye for detail.
Self-starter who can work independently, anticipate needs, and make decisions confidently.
Discretion and professionalism when handling confidential information.
Bachelor's degree or equivalent experience is preferred.
Bonus Skills:
Experience with project management or event planning.
Familiarity with CRM software and online collaboration tools.
Notary Public certification is a plus!
