Position Description
Recruitment: - Coordinates contingent worker recruitment, providing consultation and policy guidance to hiring managers.
- Manages all HR processes related to onboarding contingent workers, including temporary hires through Harvard's managed services provider, LHT, interns, student employees, and consultants.
- Supports the HR department by coordinating job postings, interviews, resume screening, references, new hire paperwork completion, orientation, and onboarding activities.
Data Management/Record Keeping: - Coordinates and processes all HR transactions in the PeopleSoft database.
- Coordinates payroll processes and troubleshoot payroll issues for employees.
- Audits information systems to ensure accurate transaction entries.
- Assists in preparing HR metrics and reports using PeopleSoft, QlikView, Applicant Tracking System and other systems as they evolve.
- Organizes, manages, and maintains digital (HR SharePoint) and physical files according to the University's record retention requirements.
Staff Engagement: - Project manages/collaborates with Radcliffe staff to plan employee events (virtual, in-person, and hybrid), employee recognition programs, and all-staff meetings and events.
- Contributes to employee engagement efforts by creating engaging content (example, staff newsletters, memos, HR intranet content, and remarks.
HR Operations: - Manages the HR monthly and annual budgets. Processes payments, reimbursements, P-Card transactions, and journal vouchers accurately and timely. Maintains financial documents in compliance with University policies.
- Manages shared technical team platforms - SharePoint, MS Teams, and other digital assets as they evolve.
- Manages HR office supplies and inventory.
Project Management: - Represents the HR department on Institute-wide or University HR-related committees, task forces, or planning groups.
- Brings back learnings to the department and project manage local implementations.
- Provides team-wide HR coordination and project management support to ensure efficient team operations by implementing effective administrative processes and systems, thereby enhancing team connectivity and efficiency.
Performs other duties as assigned .
Basic Qualifications
- Two or more years of related professional experience. Education beyond high school will count towards experience. Fresh college graduates with an interest in administration or human resources are welcome to apply.
- Must have proficiency using a variety of software, such as Microsoft suite of applications (Outlook, Word, Excel, PowerPoint). Aptitude to learn new technologies is a must.

- Able to work in a complex, fast paced, deadline-oriented customer-focused environment with frequent interruptions.
- Must demonstrate meticulous attention to detail, initiative, and follow-through; must be highly organized and able to perform tasks with a high degree of accuracy, efficiency, transparency, timeliness, and accountability.
- Must be committed to upholding and enhancing HRI's commitment to integrate equity, diversity, inclusion and belonging throughout all we do.
- Excellent interpersonal and written communication skills are required.
- Ability to handle highly complex and confidential information with discretion and sensitivity required.
- Able to handle personnel matters and difficult situations with poise and tact, maintaining confidentiality at all times and exhibiting sound judgment.
- Experience with various types of technology and applications used to enhance and streamline online forms and workflow (e.g., Adobe Acrobat); creative design applications (Adobe Illustrator, In-design), HRIS systems and applicant tracking systems (e.g., PeopleSoft); financial databases (e.g., Oracle); customer relationship management databases (e.g., Salesforce) is preferred.
- HR operations or Communications internship experience working in a fast paced, high volume, deadline-oriented customer focused environment is preferred .
Physical Requirements
- Employee must have the ability to sit at a desk for a minimum of seven hours a day and complete tasks requiring repetitive use of hands. This position involves regularly lifting and must be able to lift 50 pounds. This position requires bending, squatting, stretching, and climbing step stools.
Working Conditions
- This job is performed in a temperature-controlled office environment generally between 9:00 AM to 5:00 PM Monday through Friday. Occasional off-hours and weekend work may be required. The weekly schedule may vary, occasionally based on departmental needs.
