The Community Events Ambassador is responsible for staffing mobile and community outreach events, delivering the mission of HAWS in the community. This position will support the overall function of community-based activities and events of varying scales. The Activities Coordinator will support the Mobile Adoption Coordinator and Community Engagement Coordinator.
Essential Position Functions:
- Attend community outreach events with adoptable animals, including but not limited to mobile, corporate wellness, pet pantries and fundraisers. This includes pre and post event requirements and transporting animals in HAWS vehicles.
- Coordinating with event host the day of the event, when required.
- Assist with donation drives including donation pick-ups and pop-ins supplying data to the Mobile Coordinator for tracking purposes.
- Staff events as needed for community outreach team, including but not limited to photography, in-kind work, and other donor events as needed.
- Provides support to Mobile Adoption Coordinator overseeing satellite adoption centers and events.
- Maintains all supplies and equipment required for smooth operations (Including mobile kits, vans, pop-ups, signage)
- With the direction of the Mobile Adoption Coordinator, assist with recruiting, training and maintaining new and current staff members, interns and volunteers.
- Encourages exceptional customer services with clients and volunteers
- Motivates volunteer team and directs workflow during events; encouraging outstanding customer service and teamwork.
- Handles challenging situations with staff, volunteers, clients and customers, referring to the Mobile Adoption Coordinator as needed
- Assistance with solicitation of events and partners; managing long term relationships, offer marketing support.
- Communicates with necessary departments throughout the shelter, to coordinate offsite animals for events to ensure all departments have animals needed for events, training and adoptions.
- Supports all large fundraisers and major events as requested and required; assists with shelter events and friends’ events.
- Provides support to organizers and staff shelter events (Happy Tails, HAWSfest, Same Day Adoption Events)
- Builds a positive public image by communicating appropriately, professionally and timely with media outlets, maintaining all assets, appropriately showcasing adoptable pets, providing client services, and by being courteous, helpful and receptive to the public and their needs.
- Reports regularly after each scheduled event with the Mobile Adoption Coordinator on event activities, monies raised, event pros/cons, adoptable animal(s) information while on-site to identify outcomes and engagement.
- Support corporate engagement; responsible for overseeing corporate volunteer events as assigned; including procuring supplies and directing activities, as scheduled by their supervisors.
- Submits requests for supplies and proposes necessary new or replacement equipment. Works within the established limit for purchase of materials unless otherwise authorized.
- Communicates effectively both verbally and in writing with volunteers, donors and the public.
- Prioritizes issues that require immediate and/or attention and attends to them accordingly.
- Carries out policies and procedures as established by the Board of Directors and is responsible for maintaining knowledge of them.
- Positively portray the organization to the public and be well-versed in the organization’s current and future initiatives to communicate to the public.
- Works with all staff in departments for optimum collaboration.
- Other duties as assigned.
Minimum- Qualifications:
- High School Diploma or equivalent.
- Necessary to be able to work independently and as part of a team.
- Required ability to comprehend technical/medical terminology.
- Excellent communication (written/verbal and nonverbal) and interpersonal skills are required.
- Physical ability to lift and carry animals and supplies, bend, stoop, and stand for extended periods is required.
- Proficient use of computer, email, and the internet and shelter specific software required.
- Required ability to be approved to drive HAWS owned vehicles through insurance and DOT; must be 21 or older and have a valid driver license.
- Must be able to make decisions for all animals while considering shelter and public safety required.
- Ability to pass criminal background check
- Ability to drive large commercial vans
- Flexible schedule required days, evenings, and weekend. Events will be at varying times and varying days.
- High comfort level and proficiency with public speaking to varying sizes of groups as well as interacting with community members.
- Working directly with and handling cats/kittens, dogs/puppies, and small animals is required.
Preferred Qualifications:
- Previous experience working in customer service, or event planning.
- Previous experience working with animals in a shelter, veterinary clinic, or similar setting.
Working Conditions:
- Work is performed indoors and outdoors in all weather conditions.
- Exposure to animal dander, fur, and odors.
- Potential exposure to zoonotic diseases.
- Required to work evenings, weekends, and holidays.
- Expose to potentially unpleasant conditions.
- Noisy, fast paced environment.
Physical and Mental Requirements:
- Ability to lift, carry, push or pull up to 50 pounds.
- Ability to look, move head, hear and have dexterity to work computer and other machinery
- Ability to bend, stoop, and stand for extended periods.
- Ability to work in environments with loud noises and strong odors.
